GDPR Policy

General information and scope of data storage

  • We store and process data only as agreed by the client or as required in order to perform services requested by the client. We regard all such details as confidential.
  • We do not engage in any profiling activities.
  • We never share data with 3rd parties (e.g. for advertising, marketing, data analysis or similar).

How we obtain data:

  • Data we retain will consist solely of information that you provide to us (e.g. contact details entered on forms or correspondence), or is obtained through routine interaction with our website (e.g. your IP address).
  • This is done so that we may contact you when needed (e.g. to send invoices, analytical data you have requested, information affecting your account or our sales/service agreement(s), etc.)


  • Payment information: Information retained purely for accounting purposes, including account balances, customer payment enquiries or investigation by tax authorities (i.e. mandatory accounting requirements). That data may or may not include:
  • Payee name, billing contact details (if applicable), credit/bank card type (e.g. Amex, Visa, for card payments only), last 4 digits of payment card (card payments only), and date and amount of any payments we receive.


  • Information associated with proprietary works you have submitted to us (i.e. copyright ownership and work titles).
  • Enquiries we have received from you via email, web-form or mail.
  • Your IP address (for security reasons and to enable us to investigate technical problems if you experience a fault while using our site).

Retention policy:

  • We retain personal data that you voluntarily supply for as long as your account is active, and for as long as we are legally required to do so by tax and accounting regulations, etc.
  • Older data may exist on backup media, however backup files are regularly disposed of when they are expired or replaced.
  • General enquiries via web-form, email or mail are generally kept for a number of years so that we can refer back to them later. After that the data is deleted. At scheduled times throughout the year older enquiries are removed, depending on their age and the account status of the client.
  • The number of years correspondence is stored is dependent on the type of enquiry and the manner in which it was submitted:
    • Any correspondence that may potentially relate to a financial transaction, currently in-process registration or client account is treated the same as tax records (tax records are legally required to be stored for a minimum of six years) and deleted after seven years.
    • All other correspondence is deleted after two years.
